Event Policies

1. Eligibility

Participation is strictly limited to first responders, including police officers, firefighters, paramedics, emergency medical personnel, customs officers, correctional officers, active military personnel, or equivalent public safety personnel. Participants must be at least 18 years of age at the time of registration. Proof of eligibility (e.g., professional identification or employment certificate) may be requested.

2. Registration and Medical Requirements

Each participant is responsible for ensuring that they are physically fit to compete in their chosen sport.

Medical Certificate:

• Only individuals meeting the physical requirements for their chosen sport are eligible to register.
• For all combat sports, submission of a recent medical certificate is mandatory. Registration is considered complete only upon full payment of applicable fees and submission of all required documents.

3. Insurance and Medical Assistance

Participants are solely responsible for obtaining personal health, travel, and accident insurance covering their participation in the Games. The Organizer will provide basic on-site medical assistance during competitions. In the event of ambulance transportation or hospital treatment, all associated costs are the responsibility of the participant. The Organizer shall not be liable for any injury, illness, accident, or loss of property incurred during travel to or from the Games, or during participation in the Games.

4. Cancellations and Refunds

All cancellation requests must be submitted in writing to the Organizer.

Refund Policy:

• Cancellations made more than 90 days before the Games: 80% refund of registration fees.
• Cancellations made between 89 and 30 days before the Games: 50% refund.
• Cancellations made less than 30 days before the Games are not eligible for a refund, except in exceptional circumstances beyond the participant’s control, subject to the Organizer’s sole discretion and upon submission of appropriate supporting documentation.

5. Code of Conduct

Participants are expected to uphold the highest standards of sportsmanship, respect, and integrity. Discrimination, harassment, doping, violence, or unsportsmanlike conduct will not be tolerated. The Organizer reserves the right to disqualify any participant in violation of this Code of Conduct without refund.

6. Data Protection and Privacy

• Personal data collected during registration will be processed solely for the purpose of organizing and conducting the Games.
• Data will not be shared with partners, sponsors, or third parties, except as required by law.
• The Organizer complies with the EU General Data Protection Regulation (GDPR).
• The Organizer does not use cookies or similar tracking technologies on its website for the purpose of collecting personal data.

7. Intellectual Property

All logos, trademarks, and promotional materials related to EuroGames112 are the property of the Organizer.

Participants grant the Organizer the right to use photographs, videos, and other media from the Games (including images of participants) for promotional and non-commercial purposes.

8. Governing Law and Dispute Resolution

These Terms shall be governed by the laws of Belgium, the jurisdiction of the Organizer’s registered office. Any dispute arising in connection with the Games shall be resolved amicably where possible. If amicable resolution is not possible, disputes shall be submitted to the competent courts of Brussels.

9. Acceptance

By registering for EuroGames112, participants acknowledge that they have read, understood, and accepted these Terms and Conditions.
